Apprentice Clinical Coordinator

 Here at ICS Diagnostics we are looking for bright and enthusiastic apprentice clinical coordinator to join our Shoreditch Office. Reporting to the Head of Service Delivery, the clinical coordinator will be responsible for the ongoing execution of day to day operations for a new innovative healthcare start up. 

Working as part of the ICS Diagnostics team your role will be:

  • Scheduling Management – liaising with staff and clients to prepare, update and manage our rotas across all clients
  • Be proactive in maximising current contracts and ensuring ongoing growth of physiologists supporting individual clients
  • Building rapport with clinical staff working on site, providing latest information on contracts and being first point of contact on queries or concerns
  • Managing the timesheet process on a week to week basis
  • First line response to client operational queries
  • Support the Operations Manager with all aspects of our recruitment process, including advertising, liaising with suppliers and compliance, as well as onboarding and induction processes
  • Supporting ongoing development of reporting to clients, including monthly / quarterly report creation as required
  • Updating and maintaining the company shared drive and folder structure
  • All related administration such as answering the phone, taking minutes, and dealing with email enquiries
  • Support a culture of ongoing service development and continuous improvement across all areas of involvement 

We are looking for an individual to grow with us a business as we work towards the achievement of our strategic, financial and operational objectives, and support our Clinical, Operational and Implementation teams to ensure targets and timelines are consistently met.   

Whilst you do not need to have specific administration experience, it will be of benefit if you have had experience in administration, HR or resourcing either gained from study or a previous role. 

To be considered you must;

  • Be educated to at least A ‘level or equivalent
  • Possess strong IT skills, comfortable working with a variety of systems
  • Strong numeracy abilities, and a high level of proficiency using excel    
  • Friendly, positive and approachable
  • Strong written and verbal communication skills
  • Able to form key relationships with clinicians and clients
  • Have excellent attention to detail
  • Excellent organiser, with strong personal prioritisation and multitasking skills
  • Be able to work individually or as part of a team, be extremely organised and flexible whilst being proactive in your role
