Senior Business Support Administrator

Job Scope: 

Under the direction of the Business Manager (BM), the Senior Team Administrator (STA) ensures the smooth running of the designated team providing administrative support to facilitate the productivity, success and growth of the team. 

Key Tasks: 

  • To answer the telephones and to pick up on any overflow calls and handle appropriately
  • To ensure that the team area is professionally presented, well organised and efficient at all times
  • To assist the team in the collection and processing of timesheets from our associates
  • To oversee scanning, filing and archiving of associate files
  • Assistance with invoicing
  • Ordering refreshments/catering for divisional events
  • Ensuring that all bulk agency worker placement forms are kept up to date
  • Ensuring that the credit card tracker is updated, receipts are collected and sent to Treasury on a monthly basis
  • To meet and greet associates and direct them to the reception area
  • To take detailed messages from clients and associates and forward information to appropriate team members
  • To liaise with our office in India
  • Adhere to all Company administration systems
  • Ensure at all times that the team has an adequate supply of stationery items and printed materials
  • Secretarial duties including a working knowledge of Microsoft Office
  • Photocopying, printing and binding of documents
  • Preparing client gifts for consultant visits
  • Post duties, opening, dating and distribution
  • Fax duties, handing out faxes to relevant team
  • Any other relevant duties as required by the line manager
