Recruitment Administrator

A rare and exciting opportunity has arisen for a Recruitment Administrator to join us on a fulltime basis, working with one of the leading providers of specialised medical care in the world.

This exciting opportunity will be based in Victoria and responsible for providing agile administrative support to our dedicated delivery team (based both on and off site) and the client at all times.  Being based onsite, amongst the client in their own offices, the Recruitment Administrator must meet the client’s high standards of professionalism.

 The role will be 100% client facing, being based in our client’s brand new, highly corporate central London office.  The ability to engage with senior stakeholders and deliver on commitments is critical in this role.

 Process Management

  • By managing the registration and recruitment process, assist the Consultants to build and maintain an active candidate database to meet client requirements.
  • Proactively manage the candidate database, ensuring that priority candidates are fast tracked, and usage of cleared candidates is maximized
  • Aid the Consultants and provide them with support with assessment centers and various bespoke campaigns.
  • Responsible for ensuring all administrative elements of the registration and recruitment process are adhered to in line with Company standards and that ongoing maintenance activities for working candidates are actioned.
  • Administrative processes include, but not limited to, the following:
    • Assist in the preparation of CVs, correspondence and other documentation for forwarding to clients
    • Interviews - Assist in confirming candidate interview schedules, ensure documentation is provided, meet and greet candidates and chase interview notes/outcome.
    • Collect references.
    • Copy proof of ID and eligibility to work.
    • Manage CRB Process.
    • Manage Occupational Health Screening process.


Candidate / Client Management

  • Responsible for ensuring a professional service of high engagement is provided to candidates/clients by ensuring the client/candidate experience is positive and of a high standard at all times
  • Provide a timely and proactive response to all enquiries, forwarding to relevant colleagues as appropriate – via face to face, phone and email.
  • IT system usage to facilitate compliance and ensure information can be traced and accessed by others to allow complete transparency.
  • Support candidates in process with adhoc queries.


Quality Assurance

  • Assists with ensuring compliance with relevant quality policies and procedures and legislative requirements and keeping up to date with changes as determined by the Quality and Compliance team.
  • Assists with ensuring all candidates cleared for work are compliant with internal recruitment policies and procedures.
  • Responsibility for answering incoming calls efficiently – presenting a professional and businesslike manner at all times
  • Resolve complaints/problems quickly & accurately following appropriate procedure
  • Adheres to the company’s health and safety policies and procedures, reporting issues to management if required.

The ideal candidate will have a strong administrative background with experience dealing with clients both over the phone and face to face.
