Billings Administrator

Job Title: Billings Administrator 

Department: Finance 

Location: London, Kings Cross

Salary: £24k - 31k + annual bonus + study support

As a Billing Administrator, you will be responsible for several client accounts for our new ICS Assessments business unit with requirements for weekly, fortnightly or monthly billings along with liaising with the internal credit control function.  

Responsibilities include: 

· Management of the divisional debtor ledger and ensure consistent Group processes/procedures are followed

· Liaison and collaboration with other Credit Control teams to ensure knowledge transfer and sharing of best practice    

· Driving the best practice for accurate proactive invoicing thereby driving profitability and reducing the volume of queries

·  Liaise and establish strong working relationships with internal stakeholders and external parties

· Setting up of new clients, vacancies and the maintenance of cost and sell rates within the system.

·     Manage third party invoicing within the business.

·     Ownership of the gross profit margin impacts and assisting the Financial Controller with reconciliation at the end of the month

·     Dispatch of copy invoices/timesheets as required

·     Creation of manual invoices within the system

·     Preparation of ad hoc reports for internal and external stakeholders

·     Maintaining, documenting and recommending improvements with regard to financial controls and processes   

About You

You are expected to strive for quality, you must have a drive to get things right the first time with little room for error in an intense environment. You should also have the capacity to challenge the business status quo and make continuous improvements.

Building relationships is also a key aspect of the role. You must enjoy working as part of a diverse team and be able to build relationships quickly, particularly with senior management. Another essential is the ability to manage resistance through resilience and perseverance in managing stakeholder expectations effectively.

Lastly, getting results must be your main objective. You should aim to be highly organised with a logical approach to solving problems and hold an investigative mindset. Working under pressure should be a second nature, with working towards tight deadlines, motivation and a drive to achieve results being key.


The following are essential for a successful candidate: 

  • 2 Years Credit Control Experience
  • Advanced Level of Microsoft Excel capabilities 
  • Experience with working with financial systems 
  • Competent interpersonal skills


The following are highly desirable:

·         Ability to prepare management information

·         Exposure within the recruitment or closely related professional services industry

·         Experience of working within the healthcare sector

·         Systems experience with software such as Tempest, iQX and Microsoft Dynamics
